1. Purpose of this Policy

This policy sets out how our AI tools, assignment support and coaching services may be used by Health and Social Care learners in the UK in a way that upholds academic integrity, professional standards and regulatory expectations. It applies to all users of our website and services, including learners on RQF, NVQ, BTEC, CACHE/NCFE, City & Guilds and university programs.

  1. Our Principles

Learners must always submit their own original work and remain fully responsible for anything they submit for assessment.

Our services are designed to support learning, not to replace the independent thinking, reflection and evidence‑gathering required by awarding bodies, colleges, universities or employers. We strictly prohibit the use of our services to produce “ready‑to‑submit” assignments, portfolios, witness testimonies, observations or exam answers. We respect and align with UK expectations on academic integrity and professional conduct in education and health/social care practice.

  1. Definition of Plagiarism and Misconduct

For the purposes of this policy, plagiarism and academic misconduct include (but are not limited to): Submitting work written wholly or partly by someone else (including an AI system, ghost‑writer, friend, colleague or paid writer) as if it were your own. Copying, closely paraphrasing or translating material from books, articles, websites, AI outputs, teaching materials, or another student’s work without proper acknowledgement. Re‑using your own previously submitted work where your college, university or training provider does not permit this (self‑plagiarism). Fabricating, altering or misrepresenting evidence (e.g. care records, reflective accounts, care plans, observations, witness testimonies, service‑user quotes). Sharing or selling model answers or assessed work provided by your institution. Learners must follow the academic integrity and plagiarism policies of their own college, university, training provider and/or employer. Where those policies are stricter than ours, their rules take precedence.

  1. What Care Worker Hub AI Tools May be Used for:

Our AI‑powered tools and human coaching services may be used to: Clarify assignment briefs, learning outcomes and assessment criteria in plain English. Generate ideas, question prompts and planning notes (e.g. how to structure a reflective account or report). Provide explanations of key Health and Social Care concepts, legislation, values and theories at an appropriate academic level. Help you improve academic skills (e.g. critical thinking, structuring paragraphs, signposting arguments, time management and revision strategies). Offer feedback on clarity, organisation and style of drafts that you have written yourself (e.g. “Your introduction could be clearer if you…”). Suggest areas for further reading or research (e.g. examples of UK legislation, policy frameworks, codes of practice) that you can then consult directly. Provide practice questions, case‑study scenarios or role‑play prompts for revision and skills development. In all cases, any text provided by our AI or coaches must be treated as guidance only. You must rewrite, integrate and reference ideas in your own words, according to your institution’s rules.

  1. What our AI tools and coaches MUST NOT be used for:

You must NOT use our services to: Generate full or substantial parts of assignments, portfolios, reports, reflective accounts, care plans or exam answers for direct submission. Produce or adapt workplace evidence (e.g. care records, assessments, MAR charts, risk assessments, incident reports, supervision records) for submission. Create fabricated or altered witness testimonies, observation records or supervisor comments. Rewrite another person’s work (or AI‑generated work) to evade plagiarism detection software. Circumvent word limits, assessment conditions, or “closed” assessments such as unseen exams or timed, invigilated work. Represent AI‑generated references, quotes, statistics or case law as if you personally located and checked the original sources. If you are unsure whether a particular use of our services is acceptable, you must check with your tutor, assessor, training provider or university before proceeding.

  1. How You Should use AI‑generated content:

When using our AI tools or coaching services: Treat all outputs as draft guidance, not as finished work. Rewrite ideas in your own words and add your own examples, reflections and practice‑based evidence. Cross‑check any facts, dates, legislation, policy titles or statistics in authoritative sources before using them in your assignments or workplace documentation. Follow your institution’s rules on declaring and referencing the use of AI or external support, where required. Keep notes of how you used AI/coaching (e.g. planning only, explanation of concepts) in case your assessor asks.

  1. Human coaching and document review

When you submit drafts for feedback: Coaches may comment on structure, clarity, alignment with outcomes, academic style and areas for development. Coaches will not rewrite, edit line‑by‑line, or “fix” assignments to a pass or distinction standard for you. Coaches will not add content or evidence that could reasonably be seen as creating work on your behalf. Any suggestions must be implemented by you, using your judgement and in your own voice.

  1. Confidentiality, Safeguarding and Professional Standards

Health and Social Care work often involves sensitive personal data and confidential information. When using our services: Do not share real service‑usernames or identifiable details. Use anonymised or fictionalised examples where possible, in line with your organisation’s confidentiality policies and the UK GDPR. Do not upload full care records or internal documents that you are not authorised to share. Always comply with your employer’s codes of conduct, professional standards and safeguarding responsibilities.

  1. Monitoring and Misuse:

We reserve the right to: Refuse or discontinue support where we reasonably believe a learner intends to breach this policy or their institution’s academic integrity rules. Limit or block access to our services in cases of suspected serious misuse. Update this policy periodically to reflect changes in sector guidance, regulation and best practice. We do not run plagiarism checks on behalf of colleges, universities or employers, and we do not guarantee that your use of AI or coaching will be acceptable to your institution. It is your responsibility to understand and follow their regulations.

  1. Learner Responsibilities

By using our website and services, you agree that: You remain fully responsible for the originality, accuracy and integrity of all work you submit. You will read and comply with the academic honesty and plagiarism policies of your own institution and/or employer. You will use our tools and support ethically, to enhance your learning and competence rather than to obtain unfair advantages. You will not represent AI‑generated or coach‑generated text as your own original work. If you are in any doubt about how to use our services appropriately, you must seek guidance from your tutor, assessor or academic support service before using our tools in assessed work.
